The Human Resources Assistant supports all employee relations and human resources policies, programs, and practices and works with the Director of Human Resources, HR Manager, HR Supervisor, and HR Coordinator to provide superior HR support and guidance to the employees, managers, and executives of the Detroit Zoological Society. The Human Resources Assistant exercises independent judgment in performing position duties and requirements and consults with appropriate individuals as necessary in the performance of the job.

This position is a temporary position expected to work 30 hours per week until the conclusion of the assignment. This assignment is anticipated but not guaranteed to last approximately 4 to 6 months.

The Human Resources Assistant will support, both publicly and privately, the principles of the Detroit Zoological Society, maintain a professional manner when dealing with all constituencies, and always preserve a high level of confidentiality.

Authority and Accountability:

The Human Resources Assistant has the authority to carry out the job requirements and responsibilities and is accountable to the Director of Human Resources.

Principal Duties and Responsibilities:

  • Supports recruiting efforts by managing personnel requisitions, coordinating advertising and posting processes.
  • Receive and screen resumes and applications.
  • Refers appropriate candidates to hiring managers.
  • Schedules and oversees pre-employment testing.
  • Handles follow-up correspondence with candidates.
  • Coordinates reference checking.
  • Sets up employment files and documentation.
  • Coordinates new employee background verification process.
  • Confidential filing of personnel and medical files.
  • Print labels, create file folders and organize filing system.
  • Performs employee verifications for external requests
  • Maintains employee files in accordance with regulatory/HIPAA requirements. Files papers and documents into appropriate files.
  • Knowledge of HRIS tracking system.
  • Assists with various research projects and/or special projects.
  • Perform other HR or organizational duties as assigned
  • Maintains highest levels of confidentiality/sensitivity to HR related matters and information.

Working Conditions: Regular work schedule may include weekends, early mornings, extended days and occasional evening events. The work environment is generally comfortable and most work is indoors although the position may require work outdoors with exposure to seasonal weather conditions for special events, tours, openings, etc.

Physical Requirements: Must be able to perform the principle duties of the job. Requires moderate physical effort on a daily basis such as walking, bending, stooping and standing for extended periods of time. Must be able to use a computer and telephone, file documents accurately in the file room and elsewhere, communicate with employees, candidates, vendors, and visitors and use reasoning and calculation skills and make decisions. Knowledge, Skills, and Abilities:

Minimum

  • At least two years of related coursework or equivalent work experience in human resources department operations and have a general understanding of the recruiting process
  • Must possess exceptional verbal and written communication, project management skills, outstanding organizational skills, attention to detail, multi-tasking skills, and a strong work ethic
  • A functional understanding of MS Word / MS Outlook/ Excel software is necessary
  • Providing excellent customer service internal staff and external vendors, candidates, and representatives
  • Strong phone, email, and interpersonal communication skills

Preferred: 

  • Experience with HRIS/Payroll systems and software is helpful.
  • Experience with scheduling interviews and arranging meetings.
