The Payroll Administrator is an integral part of the Financial Planning & Analysis (FP&A) department and is primarily responsible for the timely and accurate processing of all aspects of the bi-weekly payroll.  This includes, but is not limited to, entering payroll data, verifying accuracy of figures, and posting, balancing, reconciling payroll information and providing reports to management.  In addition, the Payroll Administrator will assist the FP&A with budgeting and analysis.  This position requires the highest degree of confidentiality.

The Payroll Administrator will support, both publicly and privately, the principles of the Detroit Zoological Society. The Payroll Administrator will maintain a professional manner when dealing with all constituencies and always preserve a high level of integrity, professionalism and confidentiality.

Authority and Accountability 

The Payroll Administrator has the authority to carry out the job requirements and responsibilities and reports to the Director of Finance. 

Principal Duties and Responsibilities 

  • Responsible for the preparation and processing of biweekly payroll for over 400 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions. 
  • Using the time and attendance software and time clock, collect timesheets/timecards/time data each pay period. 
  • Compile and enter employee payroll data into payroll software as required. 
  • Complete, verify, process and reconcile documentation for employee benefit withholdings such as retirement, medical/dental insurance, section 125, etc. 
  • 401(k) ensure all payroll withholdings (loans, deferrals, DZS matches) are deducted and remitted timely and within IRS guidelines; reconcile all DZS remittances to plan vendor and posted to employee/participant accounts; work with HR in regard to maintaining employee change transactions/forms. 
  • Review new employee payroll information. 
  • Record employee information, such as exemptions, transfers, resignations, etc., in order to maintain up-to-date records. 
  • Process all payroll adjustments, including manual payroll checks. 
  • Reconcile payroll prior to transmission and validate confirmed reports. 
  • Prepare all payroll related accounting entries for posting to the general ledger. 
  • Maintain payroll filing system and ensure confidentiality of records. 
  • Administers the DZS pay card program. 
  • Compile statistical reports, statements, and summaries related to payroll and submit to appropriate departments. 
  • Prepare and balance month-end, quarter end and year-end reports. 
  • Keep management informed about changes in tax and deduction laws that apply to the payroll process. 
  • Assist with the annual financial statement audit. 
  • Perform clerical support functions, including typing, filing, copying, and answering telephones as necessary. 
  • Perform all other duties as assigned which may include assisting with setup, implementation and teardown of special events, exhibit openings, assist with emergency operations, etc.) 
  • Reconcile payroll prior to transmission and validate confirmed reports. 
  • Process correct garnishment calculations and compliance. 
  • Process accurate and timely year-end reporting when necessary (W-2, W2c, etc.) 
  • Provides monthly payroll reports to the HR department 
  • Assist in budget preparation and analysis 
  • Maintain monthly revenue and expense analysis as assigned. 
  • Adhere to safety, confidentiality, compliance and legal requirements. 
  • Assist with all other duties as assigned by the Director of Finance or Chief Financial Officer. 

Working Conditions 

Regular work schedule may include weekends or may be required to work occasional evenings, weekends and early-mornings. The work environment is generally comfortable and most work is indoors although the position may require work outdoors with exposure to seasonal weather conditions for special events, tours, openings, etc. 

Physical Requirements 

Must have the ability to perform principal duties and to lift 20 pounds.  Job may require moderate physical effort on a daily basis such as walking, bending, stooping, and standing for an extended period of time.  Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions of the job. 

Knowledge, Skills, and Abilities 

Minimum 

  • Bachelor's degree in Business Administration, Accounting or related field. 
  • 5 years of experience in processing payroll. 
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system 
  • Proficient in use of the Paycor Perform platform (or similar payroll system) 
  • High degree of professionalism; ability to deal with sensitive and/or confidential material 
  • Experience processing payroll for union and non-union employees. 
  • Experience processing payroll for 250+ employees. 
  • Must have excellent problem-solving and analytical skills 
  • Prepares a variety of payroll related documents (e.g. retirement plan transfers, ACH transfers, voluntary and involuntary contributions, W-2 controls, verification of employment and salary, etc.) for the purpose of documenting activities, providing written 
  • Strong organizational, multi-tasking and prioritizing skills 
  • Has an excellent attention to detail 
  • Proficient in computer applications such as Microsoft Word, Excel, and Outlook 
  • Knowledge of accounting principles and practices, specifically as it relates to how payroll impacts the general ledger 
  • Comfortable with analyzing and reporting financial data 
  • Strong mathematical and analytical abilities. 
  • Polished, professional image
