The Fundraising Events Coordinator is responsible for contributing to the active fundraising events calendar with an emphasis on maximizing revenue. This position supports the Fundraising Events Manager with all of the Detroit Zoological Society's fundraising events. These include the largest annual fundraiser, Sunset at the Zoo, as well as the Wildlife Conservation Gala, Run Wild for the Detroit Zoo, Renaissance Circle Events, Habitat/Building Openings and other events as assigned. 

The Fundraising Events Coordinator will support, both publicly and privately, the principles of the Detroit Zoological Society.  He/She will support and enhance a clean, safe, enjoyable, and educational experience at the DZS facilities by actively engaging in the enforcement of Customer Service Standards, and specifically by knowing and understanding the Detroit Zoological Society's "SCOPE" of service, animal care, community relations and park appearance guidelines; by enforcing safety and security policies, and following all other policies set by the organization. The Fundraising Events Coordinator will maintain a professional manner when dealing with all constituencies and always preserve a high level of integrity, professionalism and confidentiality.

Authority and Accountability

The Fundraising Events Coordinator has the authority to carry out the job requirements and responsibilities and is accountable to the Fundraising Events Manager.

Principal Duties and Responsibilities:

The following responsibilities of all fundraising events, including but not limited to Sunset at the Zoo, the Wildlife Conservation Gala, Run Wild for the Detroit Zoo, Renaissance Circle Events, Habitat/Building Openings to the Fundraising Events Coordinator:


  • Coordinate event elements (e.g., talent, activities, vendors, concessionaire, etc.)
  • Solicit and secure in-kind donations for use as auction items for Sunset at the Zoo
  • Work with Mobile Bidding Partner to produce Silent Auction Event Page
  • Solicit restaurant and beverage partners for Sunset at the Zoo
  • Assist with scheduling volunteers and appropriate staff for pre-event, event and post-event activities.
  • Coordinate promotional materials (signage, banners, programs, etc.) including obtaining vendor bids, design of promotional materials, ensuring all promotional materials completed in a timely manner.
  • Write copy for communications and event promotional materials (Habitat, Zmail, Harambee Headlines, media spots, website, etc.). 
  • Complete and distribute event synopses 20 30 days prior to event.
  • Promote ticket sales.


  • Set-up and tear-down event.
  • Coordinate logistics of event and event details.
  • Make independent decisions that affect the course of the event.
  • Oversee event volunteers.
  • Troubleshoot event challenges.
  • Assist with vendors on event day.


  • Finalize event closing details.
  • Sit in on wrap meetings with appropriate staff to evaluate event successes.
  • Create event analysis report with conclusions and recommendations.
  • Send thank you letters to sponsors, donors, etc.

General Responsibilities

  • Responsible for planning and executing Sunset at the Zoo Live and Silent Auction fulfillment for Zoo Experiences throughout the year
  • Research zoos and organizations in order to enhance existing events and create new opportunities.
  • Serve on On-Site Committee and attend bi-monthly meetings
  • Assist with other departmental events as needed.
  • All other responsibilities and tasks as assigned by the Fundraising Events Manager.

Working Conditions

Regular work schedule includes working evenings, weekends and early-mornings.  Week day schedule adjusted accordingly.  The work environment is generally comfortable and most work is indoors although the position will require work outdoors with exposure to seasonal weather conditions for special events, tours, openings, etc. 

Physical Requirements

Must be able to perform the principle duties of the job.  Requires moderate physical effort on a daily basis such as walking, bending, stooping and standing for extended periods of time.  Must be able to use a computer and telephone, communicate with employees, candidates, vendors and visitors and use reasoning and calculation skills and make decisions.  Must be able to lift and move 40 pounds. Knowledge, Skills, and Abilities


  • High school diploma or equivalent GED with some college or university credit towards an Associates or Bachelor Degree in event, marketing, public relations, communications or other related business majors.
  • Proven experience in organizing event activities.
  • Tact in dealing with DZS personnel, volunteers, and visitors.
  • Excellent verbal, written, listening and public speaking skills.
  • Must be very organized with strong time management skills and must be detail oriented with the ability to manage multiple priorities concurrently.
  • Must have knowledge of Microsoft Office, Word and Excel.
  • Very good reasoning, decision making, and problem solving skills as well as internal organization.
  • Must exhibit initiative and teamwork.
  • Valid driver's license required.


  • 2 years of event coordination experience preferred.
  • Bachelor's Degree in event, marketing, or non-profit management, public relations, communications or other related business majors.
